We are actively recruiting PTO Executive Board members for the 2025-26 School Year!

 

We have two officers (Vice President and Secretary) who are not seeking re-election next school year.

How Elections Work at Windsor Farm

Our PTO is pretty informal when it comes to elections. We have four board (officer) positions up for nomination yearly: President, Vice President, Treasurer, and Secretary. These positions constitute our Executive Board.

 

In the March meeting we will spend some time reviewing our board positions, the duties outlined by the bylaws, as well as what you can expect day-to-day. During this meeting we will typically announce the intentions of the current board members (whether they wish to run again or are looking to step down from their board positions). 

 

In the April meeting we will take nominations for the positions of President, Vice President, Treasurer, and Secretary. We do not currently have a nomination committee, so we independently nominate these positions. Per the bylaws, anyone who is a current member of the PTO is eligible to be nominated and serve in these positions. Members are able to nominate themselves or can be nominated by another member of the PTO. If nominated by someone else, the nominee must accept the nomination before we add them to the ballot/slate.

 

In the May meeting we will hold elections for the officer positions. If members wish to vote on the candidates they must be present at the May meeting. Elections can take one of two forms. If there is only one nominee per position, we will vote on the slate of nominees via voice vote (Yea or Nay). If the majority of the membership present votes "Nay" or if there are multiple candidates, we will hold votes for each individual position. 

 

Elected officers begin their duties right after the election. If there is a new member elected to an officer position, all transitions - including records, system access, and information transfer - should be completed by the end of the school year. 

 

Official Duties of Elected Officers

President Vice President Treasurer Secretary
  • Leads all PTO meetings and Executive Board meetings.
  • Handles tasks outlined in the bylaws or assigned by the PTO or Board.
  • Acts as the main contact with the school principal.
  • Coordinates the work of officers and committees to support the PTO’s goals.
  • Supports the President and steps in when the President is unavailable.
  • Manages all PTO funds.
  • Keeps clear records of money coming in and going out.
  • Pays expenses based on the approved budget or as directed by the PTO or Board.
  • Shares the responsibility of signing checks with another officer.
  • Works with banks to set up and manage accounts.
  • Provides financial updates at each meeting or when asked by the Board.
  • Ensures accounts are reviewed by an auditor or committee at the end of the fiscal year, who signs off if everything checks out.
  • Takes notes at all PTO and Executive Board meetings.
  • Handles other tasks as needed.

 

In addition, all officers should follow the duties in the bylaws and take on new assignments as needed. When leaving their position, they must hand over all materials, records, and information to their successor or the President right away.

 

Official Duties of the Executive Board

  • Handle any necessary business between PTO meetings and tasks assigned by the PTO.
  • Create standing and special committees.
  • Review and approve plans from special committees.
  • Attend regular PTO meetings.
  • Approve routine expenses that fall outside the budget.

 

I think I might be interested in a position in the future, but I'm not sure. Can I shadow a position for a bit?

Yes! Succession planning is a top priority for the PTO. Current officers will all leave their positions eventually for one reason or another - we are ready to step down, we get voted out, or we age out of the school - which means we need volunteers willing to step up and take over. Some roles are more extensive than others, and it is easier to transition roles and responsibilities if someone has already been exposed to the day-to-day.
